Terms & Conditions

These Terms and Conditions govern your access to and use of the Mai HRMS platform operated by Softbuilders. Please read them carefully before using the service.

1. Acceptance of Terms

  • By accessing or using Mai HRMS, you agree to be bound by these Terms and Conditions and our Privacy Policy.
  • If you are using Mai HRMS on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms.
  • If you do not agree to these Terms, you must not use the platform.

2. Account Registration

  • You must provide accurate, complete, and current information when creating an account.
  • You are responsible for maintaining the confidentiality of your credentials and for all activities that occur under your account.
  • You must notify us immediately at support@softbuilder.ae if you suspect unauthorised access to your account.
  • You must be at least 18 years old to create an account.

3. Free Trial

  • New accounts receive a 30-day free trial with access to all HR modules and 1,000 complimentary AI credits.
  • No payment information is required to start the trial.
  • At the end of the trial period, a paid subscription is required to continue using the platform.
  • Unused trial credits do not carry over to a paid plan.

4. Subscription & Payment

  • The standard subscription fee is 69 AED per month, billed monthly.
  • Subscriptions renew automatically at the end of each billing period unless cancelled before the renewal date.
  • AI credits are billed separately based on actual usage. Purchased credit packs are non-refundable.
  • All fees are exclusive of applicable taxes, which will be added where required by law.
  • We reserve the right to change pricing with 30 days' notice. Continued use after the notice period constitutes acceptance.

5. Acceptable Use

  • You agree to use Mai HRMS only for lawful HR and workforce management purposes.
  • You must not: attempt to reverse-engineer, decompile, or extract source code from the platform.
  • You must not: upload malicious code, conduct security attacks, or attempt to gain unauthorised access to other accounts.
  • You must not: use the platform to store or transmit content that is illegal, harassing, or violates third-party rights.
  • You must not: resell, sublicense, or make the platform available to third parties without our written consent.

6. Data Ownership

  • You retain full ownership of all data you enter into Mai HRMS, including employee records and company information.
  • You grant us a limited licence to process your data solely to provide and improve the platform.
  • We do not claim ownership of your data and will not use it for purposes beyond service delivery.

7. Intellectual Property

  • Mai HRMS, its software, design, trademarks, and content are owned by Softbuilders and protected by applicable intellectual property laws.
  • Nothing in these Terms transfers ownership of our intellectual property to you.
  • You may not use our trademarks, logos, or brand elements without prior written permission.

8. Service Availability

  • We aim to maintain 99.9% uptime but do not guarantee uninterrupted access to the platform.
  • Scheduled maintenance will be communicated in advance where possible.
  • We are not liable for downtime caused by third-party services, force majeure events, or circumstances beyond our reasonable control.

9. Limitation of Liability

  • To the maximum extent permitted by law, Softbuilders shall not be liable for indirect, incidental, consequential, or punitive damages.
  • Our total liability to you for any claim arising from your use of Mai HRMS shall not exceed the fees paid in the 3 months preceding the claim.
  • We are not responsible for decisions made based on data or insights provided by the platform.

10. Termination

  • You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period.
  • We reserve the right to suspend or terminate your account immediately if you breach these Terms.
  • Upon termination, your data will be retained for 90 days and then permanently deleted, unless required otherwise by law.

11. Governing Law

  • These Terms are governed by the laws of the United Arab Emirates.
  • Any disputes shall be subject to the exclusive jurisdiction of the courts of Dubai, UAE.

12. Changes to These Terms

  • We may update these Terms from time to time. Material changes will be communicated with at least 14 days' notice.
  • Continued use of the platform after the effective date of changes constitutes acceptance.
